Shipping Policy

Every piece of tour-issue equipment we ship is packed with the same care that went into authenticating it. Here’s exactly what to expect.

1. Order Processing

All orders are processed within 1–2 business days (Monday–Friday, excluding US federal holidays) of payment confirmation. Orders placed after 12:00 PM ET Friday will be processed the following Monday.

During periods of high demand or following an exclusive drop, processing times may extend to 3 business days. You will receive an email notification if your order is affected.

Once your order ships, you will receive a confirmation email with a tracking number and carrier link. Authentication documentation is included in the shipment for every item.

Vault Elite members receive priority fulfillment — orders are processed same-day when placed before 10:00 AM ET on a business day.

2. Domestic Shipping (United States)

We ship to all 50 US states, including Alaska and Hawaii. The following service tiers are available at checkout:

Delivery estimates begin from the day of shipment, not the order date. Estimated transit times are provided by carriers and are not guaranteed, particularly for Alaska, Hawaii, and remote ZIP codes.

Note: Shipping rates shown are estimates. Final rates are calculated at checkout based on package weight, dimensions, and delivery address. Rates for remote areas, oversized items (e.g., full club sets or shaft bundles), and expedited services may be higher than the estimates shown.

Free standard shipping is automatically applied at checkout when your order subtotal reaches $250 or more before taxes and fees.

3. International Shipping

TourVaultGolf ships to select international destinations. International orders are shipped via FedEx International Priority or UPS Worldwide Expedited.

Customs, duties, and import taxes are the sole responsibility of the buyer and are not included in our shipping fees or item price. These charges are assessed by your country’s customs authority upon arrival and vary widely by country and item value. Common additional charges include:

  • Import duties: Percentage-based tariffs on the declared item value, set by the destination country. Rates vary — check your country’s customs authority before ordering.
  • VAT / GST: Most countries (including the UK, EU member states, Australia, Canada, and Japan) charge Value Added Tax or Goods & Services Tax on imported goods, applied to the item value plus shipping costs. UK buyers note: VAT applies to all imports regardless of value since Brexit (January 2021).
  • Brokerage / customs broker fees: Carriers (particularly UPS in Canada) may charge brokerage fees to clear your package through customs on your behalf. These fees are separate from duties and are charged directly by the carrier. FedEx typically includes standard brokerage; UPS charges this separately.
  • Courier handling fees: Some carriers charge a nominal fee for paying customs duties on your behalf (disbursement fee), which is then billed to you at delivery.

We are not able to declare packages as gifts, undervalue items on customs forms, or split shipments to reduce customs exposure. All customs forms reflect the full transaction value.

Some countries may restrict or prohibit import of certain goods or materials. It is your responsibility to confirm that the item you are purchasing is legal to import into your country before placing an order. TourVaultGolf is not liable for items seized or refused by customs.

International shipments may be delayed by customs processing. TourVaultGolf is not responsible for delays, additional fees, or item seizure caused by customs inspections or local regulations outside the United States.

4. Packaging Standards

Tour-issue equipment is irreplaceable. Our packaging protocol reflects that.

  • Putters: Shipped in rigid cardboard boxes with film wrapping. Head cover included where provided by the seller.
  • Wood heads and irons: Individually bubble-wrapped and placed in foam-lined boxes sized to the item. Shafts are secured separately to prevent impact damage.
  • Shafts: Shipped in rigid PVC or cardboard tubes with foam tip and butt protectors.
  • Small items (covers, collectibles): Poly-bagged and placed in padded mailers or rigid boxes with void fill to prevent movement.
  • Authentication card and paperwork are sealed in a protective sleeve and placed inside the package, never outside.

We do not reuse damaged boxes or compromised packaging materials. Every shipment is photographed before dispatch for our records.

5. Insurance & Tracking

All orders include the following as standard:

  • Full tracking: Every shipment includes end-to-end carrier tracking. Your tracking number is emailed at dispatch and available in your account dashboard.
  • Carrier liability: Domestic shipments include standard carrier declared value coverage up to $100.
  • Additional insurance: Orders valued over $100 are automatically insured for their full declared value through our carrier insurance program at no additional cost to you.

For international shipments, insurance is included up to the declared value of the item. We declare the full transaction value on all customs forms — we do not under-declare.

6. High-Value Items

Items listed at $1,000 or more are subject to additional shipping protocols:

  • Shipped exclusively via FedEx Priority Overnight or FedEx 2Day with adult signature required at delivery.
  • Fully insured for 100% of the sale price through our specialist fine-goods insurance program.
  • Double-boxed with rigid inner and outer packaging and tamper-evident sealing tape.
  • Shipment photos and carrier receipt are retained for 90 days post-delivery.

For Scotty Cameron Circle T putters and other highly collectible items, we may contact you by email to confirm shipping details before dispatch. Please ensure your contact information is up to date in your account.

7. Lost or Damaged Items

In the unlikely event that your order arrives damaged or does not arrive within the estimated delivery window, please contact us within 5 business days of the expected delivery date.

To report a damaged item:

  1. Photograph the outer packaging and the item before removing any further packaging.
  2. Email info@tourvaultgolf.com with your order number, photos, and a brief description of the damage.
  3. Retain all original packaging materials — the carrier may require inspection.

To report a lost shipment:

  1. Verify the tracking status shows no movement for more than 3 business days.
  2. Check with neighbours and your building’s receiving area.
  3. Contact us at info@tourvaultgolf.com with your order number and we will open a carrier trace immediately.

We will work quickly to resolve damage and loss claims. Resolution options include replacement (where inventory permits), store credit, or a full refund. We target resolution within 5–10 business days of a claim being filed.

Important: Claims submitted more than 5 business days after the expected delivery date may not be eligible for insurance recovery. Please contact us promptly.

8. Returns & Refunds

Due to the rare and authenticated nature of our inventory, all sales are considered final. We do not accept returns for change of mind.

Returns are accepted in the following circumstances:

  • Item not as described: If an item arrives materially different from its listing description (e.g., undisclosed damage, wrong model, or condition misrepresentation), contact us within 48 hours of delivery with photos. We will review and, if the claim is valid, provide a prepaid return label (US domestic only — see below) and full refund.
  • Authentication dispute: If you have credible reason to believe an item’s authenticity is not as represented, contact us within 7 days of delivery. We will conduct a secondary review. If authentication cannot be confirmed, a full refund will be issued.
  • Carrier damage: See Section 7 above.

International returns: For buyers outside the United States, approved return shipping costs are the buyer’s responsibility. We do not provide prepaid international return labels. Return shipments must be sent via a tracked, insured service. Any customs duties, taxes, or import fees assessed on the return shipment are also the buyer’s responsibility. Original outbound shipping fees are non-refundable on international orders. We strongly recommend international buyers review listings carefully and contact us with any questions before purchasing.

Approved returns must be shipped back within 5 business days of authorization, using the original packaging where possible. Refunds are issued within 5–7 business days of our receiving and inspecting the returned item.

Items returned without prior authorization, or in a condition worse than received, will not be refunded.

9. Selling Equipment to Us

If you are sending equipment to TourVaultGolf for a cash offer or consignment, please follow these guidelines to ensure safe transit and a smooth evaluation process.

  • Do not ship until we have confirmed a cash offer or consignment agreement in writing via email. Unsolicited packages may be refused at our receiving address.
  • We will provide a prepaid FedEx label once an offer is agreed. Use this label — do not ship via alternative carriers without prior authorization.
  • Pack equipment securely using appropriate materials (see Section 4 for guidance). Items damaged in transit due to inadequate packaging may affect the final offer.
  • Include a printed copy of your offer confirmation email inside the package.
  • Ship within 5 business days of receiving the prepaid label, unless otherwise agreed.

Once we receive and authenticate your equipment, we will confirm the final offer within 1 business day. Payment is issued within 2 business days of offer acceptance via the method agreed (ACH, Zelle, or check).
